Getting started and general use (4)
Initial setup and vessel settings
Define the vessel profile, fuels, machinery and propeller data.
- On first launch, choose new setup, restore from backup, or explore with demo data.
- Choose your duty as Chief Engineer, 1st Engineer or Watch engineer/officer; roles other than Chief Engineer can continue without a security password, and this security can be added later from settings.
- Setup goes step by step; the top of each screen shows where you are, e.g. Setup · 2 / 6. For the Chief Engineer, only the name is asked first, then a password of at least eight characters. E-mail and phone are optional and can be added under + Contact details.
- If the device supports it, tick Also unlock with fingerprint on the password step.
- Complete the vessel profile; select ship time, fuels used on board and the default M/E and A/E fuels.
- The average consumption step is optional and asks only for the fuels you selected. Propeller data is needed only for the slip calculation; skip it with Not now, later and enter it later in Vessel settings.
- Change or add language, ship time, vessel information or Chief Engineer security later from the right menu › Language, Vessel settings or Security.
- On setup screens, the phone's back key returns to the previous step. Contact details stay on the device only; no e-mail or WhatsApp code is sent.
Home screen
A quick view of ROB, open jobs, due tests and important notes.
- The fuel card shows values from the latest daily report.
- With at least one day of report data in the last 7 days, each fuel shows roughly how many days the current ROB will last at the average consumption of the vessel's current status (sea, anchor or port); it turns orange below 7 days and red below 3 days. Tap a fuel to see the average daily consumption used.
- Tap open jobs or tests due to open the related list.
- The Needs attention today card at the top of Home lists overdue jobs and due controls; tapping a line opens that job or test record directly.
- Bottom navigation: Home · Daily report · Jobs · Controls. Controls has Tests and Checklists tabs. A red number on Jobs or Controls shows how many records are overdue or require action.
- Jobs has Open, Assigned to me, Overdue, Due today and Closed/cancelled filters and a search field; overdue jobs are listed first.
- If you leave a new job or daily report form with entered values, you are asked to confirm discarding them.
- The badge updates automatically when an item is completed, cancelled, archived or receives a new valid due date; it disappears when the count reaches zero.
- Use quick actions to open daily report, ORB, bunkering, new job, notes and reminders. On sub-screens, the ← arrow at the top left does the same as the phone's back key.
To-dos and alerts and minimum ROB
Brings overdue work, test/checklist findings and fuel-safety warnings together.
- Define a safe minimum ROB in MT for each fuel used on board; enter 0 to disable its warning.
- A critical alert appears when the latest daily report ROB reaches the minimum, and a warning appears within 10% above it.
- Tap Items needing attention today on Home to open To-dos and alerts.
- Tap an action to open its related Jobs, Tests, Checklist or Fuel screen.
Active user and audit trail
Records who creates, edits and verifies operational entries in a traceable form.
- Define the personnel currently on board in Personnel list first.
- Select the person entering data from Active record user in the right menu.
- This selection identifies record responsibility only; it does not unlock areas protected by the Chief Engineer password.
- Jobs retain the opener, assignee, completer or cancelling user; tests/checklists retain performer and verifier; daily reports and bunker records retain creator/editor identities.
- Open Right menu › Audit trail to review creation, correction, verification, cancellation, archiving and automatic recalculation events with date, user and reason.
- A crew member's name remains available in historical audit records after sign-off or removal from the active crew list.
Operations (9)
Daily report and fuel
Records daily fuel consumption, ROB, lubricating oils and slip when applicable.
- A new report opens full screen; Save is at the top right and the calculated ROB of every fuel is shown in the fixed line below it.
- Fuel, oil, slip and sludge/bilge sections start collapsed and their header shows the consumption and ROB summary. Open only what changed: a fuel section shows M/E and A/E consumption; open + Fuel received (bunker) when fuel was taken, and + Other consumers for boiler/incinerator/other. The Previous note under a field is the last report's value and is not copied into the form. The Next: … › button at the bottom of each section closes it and opens the next one; the Summary card at the end shows consumption, ROB and any sections not entered or needing a check.
- Opening ROB comes from the previous report; tap the pencil next to it to change it or mark it as measured. If a value is invalid, tapping Save opens the related section with a red border.
- Select the report date and time.
- Choose the report type: Daily report with the continuing status for routine reports; End of sea passage (EOSP), Drop anchor, Anchor up, Berthed, Unberthed or Commencement of sea passage (COSP) when the status changes. The app sets the status of the period that follows. Use Special status for dry dock, shore connection and laid-up.
- Consumption entered on a report belongs to the period since the previous report; for example the Drop anchor report closes a sea period and the next report closes an anchor period. Reporting at the moment the status changes keeps the analysis accurate.
- Open Consumption · last 30 days at the top of the screen: each bar is the MT/day of one period between reports, coloured for sea, manoeuvring, anchor or port. Tap a bar to see its times, duration and consumption; an orange dot marks periods more than 20% away from their own operation's average.
- Check the opening ROB carried from the previous report for every fuel and lubricating-oil group.
- Select Measured / verified opening ROB when the value comes from an actual sounding or verified company record; it becomes a reconciliation point for earlier corrections.
- Enter bunker and M/E, A/E, boiler, incinerator and other consumption; record M/E use of MGO/VLSFO/ULSFO during changeover or special-area operation under the corresponding fuel.
- When enabled in vessel settings, you can also fill in the optional Sludge, Bilge and Dirty Oil fields on the report; they are disabled by default.
- For Shore connection or Laid-up, select No consumption recorded. After confirmation, all fuel consumptions are saved as 0.0 MT, bunker quantities are still added to ROB, and slip is not required.
- Choose Edit on an incorrect historical record, correct the values and enter the mandatory correction reason.
- Review the number of later reports affected in the confirmation screen. The system preserves their bunker and consumption entries while recalculating opening/closing ROB chronologically; each fuel or oil stream is anchored again at its next verified opening ROB.
- The complete before-and-after states are retained in immutable revision history. The correction date, user, reason and automatically affected reports appear on the card and in Audit trail.
- Enable slip only when required at full sea speed.
- Reports are grouped by month; the current month is open and other months open when you tap their header. The header shows the number of reports and the month's total consumption; earlier years are grouped under a year heading.
- The Report button at the top (or the Report shortcut on a month header) opens the summary report window: choose the period (This month, Last month, Last 30 days, Custom range) and tick what to include: fuel consumption and ROB, oil consumption, sludge/bilge/dirty oil and increase rate, bunker, slip, operation breakdown (sea/anchor/port hours). Create report, then choose PDF, print, share or Excel.
- A single daily report can still be exported with Send report on its own card.
Unplanned jobs
Tracks maintenance and repairs with priority, status and dates.
- Quick way: New job · Open with photo on Home opens the camera straight away. Take the photo, type a job title, choose equipment and priority, then tap Open job. Tap + Details for assignee, due date and description.
- Each job card shows one main button for its current stage: Start work for an opened job, Complete job for one in progress. Complete job asks only what was done, when, and an optional photo. Other actions such as Send to test or Change status manually are under Edit.
- Enter equipment, description, priority and optional assignee when opening a job; add a Planned completion date when required.
- The planned completion cannot precede the job opening date. An open job past this date is added to the red badge count in the bottom navigation.
- Update status and responsibility as work progresses.
- Add photos from the camera or gallery to document before/after condition; photos are automatically resized and included in backups.
- When closing, record completion date and details; completion cannot precede opening. The active record user is stored as the completing person.
- For an incorrect, duplicate or no-longer-applicable entry, use Edit › Cancel job with reason. A reason is mandatory; the entry is not permanently deleted and remains as read-only history.
- Select a date range and statuses to report planned, ongoing, completed or cancelled jobs separately; create a PDF, print or share it.
Tests
Tracks periodic tests and their next due dates.
- Use ✓ Passed or ✗ Failed on the test card to open the record; select the performer and, when applicable, the verifier. Edit latest record, Change period and Archive test are in the ⋮ menu on the right of the card.
- A finding/comment is mandatory for Failed or Partial results. Use Create corrective job to link the finding to maintenance work.
- After closing the linked job, create a successful retest; only that record closes the finding, while the link remains in the audit trail.
- Add a new test and select daily, weekly, fortnightly or calendar month/year periods. In Turkish mode, built-in test names appear in Turkish; names you typed are never changed.
- A passed record calculates the next due date in ship time; the item becomes active again when that date is reached.
- Due/overdue, failed, partial or deferred tests are included in the bottom badge and To-dos and alerts counts.
- For a definition no longer in use, choose ⋮ › Archive test and enter a reason. It leaves the active plan while historical results and audit history are preserved.
Checklist
Manages standard and vessel-specific checklists.
- Review and approve items suggested from vessel type, flag and class.
- All your active checklists appear in one My checklists list. Each card has ✓ Passed / ✗ Failed buttons; Edit latest record, Change period and Exclude / Archive are in the card's ⋮ menu. The decision remains in the audit trail.
- When more horizontal options are available, an edge arrow appears; swipe the row or tap the arrow.
- Add a new checklist for CO₂ alarms, batteries or other vessel-specific controls.
- Record control date/time, performer, result and optional verifier; a passed item becomes active again in its next period.
- When a custom checklist is no longer used, archive it with a reason; historical completion records are preserved.
- Due/overdue checklists or results requiring action create a red notification dot in the bottom navigation.
- Use Checklist report in the ⋮ menu next to the screen title to export records in the selected date range as PDF, Excel, print or share; Show excluded items is in the same menu.
Notes
Stores personal engine-room notes with photo, voice and drawing attachments; pins important ones to Home.
- Create a note with a title, body and colour.
- Use the grid/list icon in the top right to switch view; the choice is remembered. Grid view suits short, photo-heavy notes, list view suits long text.
- The New note button opens Text, Image, Drawing and Audio options; the note starts directly with the chosen type. To add to an existing note, use the + button in the editor.
- For images, pick the camera or gallery; multiple photos can be added.
- Drawing opens full screen; pick a colour dot at the top, draw with your finger, use Clear to reset, and the checkmark to save.
- Choosing Audio opens the recording screen; tap Start recording or the microphone to begin, and the timer runs; Pause/Continue lets you take a break mid-recording (microphone permission is requested on first use); Stop and save adds it to the note, the play/pause icon plays it back and the slider jumps to any point.
- Each attachment can be deleted individually; deleting the note itself removes all its attachment files too.
- Enable Show with priority on home for important notes.
- Use search to find older notes; notes can be edited or deleted.
Bunker planning and delivery
Manages tank definitions, delivery planning, capacity and temperature correction.
- Define bunker tanks once in Tanks; save capacity and fuel type.
- A new bunker record opens as a 3-step full-screen plan; the line at the top always shows the BDN volume @15°C, its MT equivalent and the amount not yet distributed.
- Step 1 (What is being received?): enter date, place, fuel type, BDN volume, density @15°C and temperature. VCF is calculated automatically; details are under Calculation details.
- Step 2 (Which tanks?): add tanks and enter current volume and planned quantity. Put the remaining into this tank adds the undistributed amount. The fill bar shows the 85% line; it turns orange above the limit and red above capacity. Planned sounding is optional.
- Step 3 (Summary): check the plan; for tanks above 85% tick the Chief Engineer approval, enter a reason and save.
- A bunker record is a plan; the actual delivery almost always differs, so enter real figures in the daily report. When bunkering is over, open the record and use Complete operation to mark it as completed; the plan is kept unchanged. Remove completed mark undoes it.
- When a BDN scanned through Document scan is linked to this record, a BDN scan attached card appears in the record detail, from which you can share or print the document directly.
- To delete only the most recent bunker record if entered incorrectly, use Delete; this requires password and confirmation, and is permanent and cannot be undone.
Automatic checks
Runs explainable offline checks on daily report, job and test data.
- Open Right menu › Operations › Automatic checks.
- For every warning, review what was found, why it matters, the supporting evidence and the recommended action.
- Checks cover negative ROB, consumption above the recent median, failed/partial tests without a corrective job and accumulated overdue work.
- Results are not an automatic decision or compliance approval; vessel procedures and professional judgement remain authoritative.
Chief Engineer handover
Records the fuel, open-work, control, crew and bunker snapshot at handover.
- Open Right menu › Operations › Chief Engineer handover.
- Verify the live ROB, open jobs, due controls, crew-contract warnings and latest bunker summary.
- Enter the incoming Chief Engineer and the voyage/operation, technical-condition and safety/SMS notes.
- Save the record, then create or share a PDF when required.
- The automatic snapshot is supporting information; it does not replace the vessel handover checklist and signature procedure.
Reminders
Creates device notifications for planned jobs and actions using ship time or an elapsed duration.
- Open Right menu › Operations › Reminders.
- Tap New reminder, fill in What should I remind you? and under When? choose In 30 min, In 1 hour, In 2 hours, Other duration or Pick date and time.
- A reminder set to a date and time rings at that ship time even if the ship's time zone changes. A reminder set as a duration (30 min, 1 hour…) rings after exactly that long, even if clocks are changed.
- Notes, notify before, repeat, linked record (job, test, checklist, note) and exact alarm are under + Other options.
- Select Exact time only when operationally critical; if Android does not allow it, a standard alarm may arrive with a short delay.
- Snooze for 15 minutes or complete directly from the notification. Use Active/History in the app to edit, complete or cancel records.
Records and reports (8)
Document scan
Scans a BDN, a sludge/bilge discharge receipt or any paper document, then stores it as a PDF to share or print.
- Open Right menu › Records › Document scan; tap Start scanning and choose BDN, Sludge/bilge discharge receipt or General document (manual, certificate, etc.).
- Scan the document with automatic edge detection and cropping, single or multi-page; on first use Google Play services downloads the scanner component once, which requires internet access.
- For a BDN scan you may optionally link it to an existing bunker record; for a sludge/bilge receipt you may optionally link it to an existing ORB record. Linking is not required and can be done later.
- After saving, share, print, save a separate PDF copy, or delete the document from the list.
- For BDN and sludge/bilge documents, the suggested 3-year legal retention period is shown as a reminder on the delete screen; the decision to delete always remains yours.
- When a BDN scan is linked to a bunker record, it appears directly in that bunker record's detail view; when a receipt scan is linked to an ORB record, it appears on that ORB entry's card, each with share/print icons.
- This feature only keeps an evidence copy inside EngineDesk; it does not replace the original paper document or the official record (BDN, ORB, receipt).
Equipment register
Stores basic machinery identity, serial number and criticality information.
- Open Right menu › Records › Equipment register; use the Equipment register guide button on that screen for direct access to these instructions.
- Create a separate record for every main engine, auxiliary engine, pump, separator, boiler and important system.
- Enter the system, equipment name, maker, model and serial number as shown on the nameplate where possible.
- Choose Critical, Important or Normal according to the vessel SMS/classification assessment.
- Use notes for short identity and configuration details; keep maintenance history in the Jobs module.
- Archive an item rather than deleting it when it is no longer used; its audit history remains available.
Chemical inventory
Keeps the usage, quantity and storage details of on-board chemicals up to date.
- Open Right menu › Records › Chemical inventory.
- Enter the chemical name, usage area, quantity in kilograms and storage location.
- When stock changes, use Update quantity on the card to change only the amount; use Edit to change the product details.
- Archive a chemical that is no longer on board; its history remains available.
- Use Report to create, share or print the active chemical PDF, or create and share an Excel file.
- The list does not replace SDS/MSDS, risk assessment, segregated storage or vessel SMS requirements.
Personnel list
Tracks onboard crew rank, competency and contract status.
- Initial setup saves the Chief Engineer name and password; e-mail and phone are optional. Enable fingerprint unlock when supported by the device.
- Add only ranks present on board; numbering is automatic.
- The form has two parts: Identity and duty (name, rank, competency, nationality) and Contract (sign-on date, contract duration). Sign-off is marked only when editing an existing crew member.
- Rank and competency are independent fields.
- Open encrypted notes from the Chief Eng. private notes button on a crew card; the lock closes automatically when the app moves to the background.
- If the password is forgotten, verify with the enabled biometric and create a new password without deleting records.
- E-mail/WhatsApp code recovery requires an online EngineDesk server and an official WhatsApp Business service.
- In Evaluation reports on a crew card, rate the ISM/SMS criteria; enter factual comments for ratings 1 and 2, then save the development plan and the Master's evaluation.
- Open the saved report; for PDF, Excel or sharing, select Authorized export and re-authenticate. The output includes signature fields for the Chief Engineer and the Master.
- Export requires Chief Engineer authorization; the resulting PDF and Excel files themselves are not password-encrypted outside EngineDesk and must be protected as confidential documents.
- Monitor contract-expiry warnings and create or share the general crew PDF.
Oil Record Book (ORB Part I)
Keeps MARPOL Annex I ORB Part I entries in English with validation and tank balance tracking; the record body is always in English as MARPOL requires.
- Open the ORB module from the dashboard ORB card or from the right menu › Records › ORB. Three tabs are available: My records, Tanks, Examples.
- Before creating any record, define the ship's bilge holding, sludge, waste oil, incinerator service/settling and slop tanks under the Tanks tab, using the exact tank name and frame range from the IOPPC supplement; capacity is entered in cubic metres.
- Fuel tanks come from the Bunker module; there is no need to create fuel tank entries in ORB tank definitions.
- For a new record, tap New record under My records; choose What did you do? (Bunker/Bilge/Sludge/Filter/Remarks), then Which operation?. The record then goes in 3 steps: 1) Which tanks and how much? 2) When, and other details 3) Check the record (English preview and Save).
- A step cannot be passed with Next while its required fields are empty. If a needed tank definition is missing, use Add tank now in step 1 to add it without leaving the form; what you entered is kept. If you tap Change operation after entering values, you are asked first because they will be cleared.
- For bilge/sludge fields the tank is picked from the defined tank list via a dropdown; capacity is auto-filled and locked. Frame range is part of the tank name.
- When Save is pressed in step 3, the system computes the tank balance from previous ORB entries and runs a consistency check: if the reported retained amount does not match previous ± the operation amount, an error is shown and the entry is refused.
- Capacity overruns and negative amounts are also rejected.
- The Current ROB card at the top of My records shows the last known retained volume / capacity for every bilge/sludge tank.
- The Examples tab lists 26 sample records with a code filter (H/D/C/F/I); the examples are drawn up with reference to the official IMO MARPOL Annex I documents. Each example includes a Notes section with Turkish/English explanations.
- When a sludge/bilge discharge receipt scanned through Document scan is linked to an ORB record, a Receipt scan attached row appears on that record's card, from which you can share or print the document directly.
- As required by MARPOL, the record body — quantities, tank identity, positions, receiving facility, port and receipt number — is always written in English capitals; form labels and hints follow the app language.
- Numeric fields accept up to two decimal places.
- When the ORB has not been updated for 7 days, a reminder appears in To-dos and alerts; it can be snoozed.
Maintenance tracking
Tracks equipment maintenance plans by meter or calendar periods, deducts spare-part stock and keeps maintenance history.
- In the Definitions tab, define equipment, meters (e.g. running hours), materials/spare parts and the slots those materials are tied to. Pick the equipment type from the list; if it is not there, use Not in the list? Type your own to open a free-text field.
- Create a maintenance task for a piece of equipment; choose a meter-based period (e.g. every 500 hours) or a calendar-based period (e.g. every 3 months) and add the required material lines (slot and quantity) to the task.
- In the Panel tab, see each task's status (on time / due soon / overdue) and remaining time/hours.
- In the Service tab, select equipment and task, enter the current meter reading, performer and result (checked / cleaned / replaced) to save the service; used materials are automatically deducted from stock.
- In the Stock tab, monitor material quantities, minimum-level warnings and stock movement history; record stock receipts or count corrections.
- In the History tab, review all completed maintenance records filtered by equipment or task.
